Sometimes you need to give merch away — whether it’s a comp for a VIP, a giveaway winner claiming their prize, or a replacement for a damaged item. Fanhaven tracks all of these to maintain accurate inventory and accountability.

Comps

A comp is a complimentary item given to someone without payment. Common scenarios:
  • Artist or management requests items for VIPs or crew
  • Replacement for a defective item
  • Promotional giveaway at the booth
  • Staff uniforms or samples

Issuing a comp

Select “Comp” on the POS

From the POS app, choose the comp option.

Select the item and size

Pick the merch item being given away, just like a regular sale.

Enter a reason

Select or type a reason for the comp. This is required for accountability.

Confirm

The comp is logged and inventory is deducted — just like a sale, but with $0 revenue.

Comp tracking

All comps are tracked in the system with:
  • Item and size given
  • Staff member who issued it
  • Reason for the comp
  • Date, time, and event
  • Fan (if associated with a fan profile)
Tour managers can review all comps from the dashboard. Excessive or unexplained comps may indicate process issues that need attention.

Giveaways

Giveaways are tour-level promotions where fans earn prizes through purchases. Unlike comps (which are manual), giveaways are system-driven.

How giveaways work

  1. A giveaway is configured at the tour level (see Managing Tours)
  2. When a fan makes a qualifying purchase, they’re automatically entered
  3. Winners are selected (randomly or by criteria, depending on the promotion type)
  4. Winners claim their prize at the merch booth

Fulfilling giveaway rewards

When a winner comes to the booth to claim their prize:

Look up the fan

Search by phone number or name on the POS.

View their pending rewards

The POS shows any unclaimed rewards tied to their profile.

Select sizes (if applicable)

If the reward is a sized item (like a t-shirt), the fan selects their preferred size.

Fulfill the reward

Confirm the giveaway and the item is deducted from inventory. The reward status changes to “Claimed.”

Lottery

A lottery works similarly to a giveaway, but entries accumulate with each purchase. More purchases = more entries = higher chance of winning. Winners are drawn at a time configured by the tour manager.

Reporting

Comps and giveaways appear in:
  • Transaction history — Listed alongside regular sales
  • Adjustments Report — All non-standard transactions including comps
  • Inventory reports — Comps reduce inventory just like sales
  • Tour overview — Comp totals are tracked as a separate metric
